Terms of Service

These terms explain how Vanta Booking accounts, merchant workspaces, hosted storefronts, bookings, payments, deposits, support, and platform tools may be used.

Agreement to these terms

These Terms of Service govern access to and use of Vanta Booking, including merchant accounts, private setup workspaces, hosted storefronts, booking flows, payment tools, support workflows, employee review tools, messaging, and related services made available by Vanta Booking.

By creating an account, signing in, submitting a merchant application, using a hosted storefront, making a booking, or otherwise using the platform, you agree to these Terms. If you use Vanta Booking on behalf of a business, you represent that you are authorized to bind that business to these Terms.

If you do not agree to these Terms, do not use the platform.

Vanta Booking's role

Vanta Booking provides booking, storefront, payment, operations, and support software. Except where expressly stated otherwise, Vanta Booking is not the merchant, operator, seller, guide, host, rental provider, tour provider, transportation provider, insurer, tax advisor, legal advisor, or provider of the experiences, products, rentals, services, or events listed by merchants.

Merchants are responsible for the experiences and services they offer, including descriptions, pricing, availability, safety rules, customer eligibility, cancellation terms, refunds, taxes, waivers, ID requirements, damage policies, accessibility information, and all communications with their customers.

Customers booking through a Vanta-hosted storefront are entering into a transaction with the applicable merchant. Vanta Booking may provide the technical checkout, records, messaging, and payment tooling that supports that transaction.

Accounts and security

You must provide accurate, current, and complete information when creating an account, submitting a merchant application, configuring a workspace, or using support and account recovery flows. You must keep account credentials, verification codes, and trusted devices secure.

Vanta Booking may require password authentication, SMS verification, email verification, account recovery review, owner or staff approval, or other security steps before granting access or changing account information. You agree not to bypass, disable, or interfere with these safeguards.

You are responsible for activity that occurs under your account, including activity by invited team members, employees, contractors, or other users you authorize. You must promptly notify Vanta Booking if you believe an account, phone number, email address, password, or payment credential has been compromised.

Merchant setup and activation

Merchant workspaces may begin in restricted setup mode. During setup mode, merchants may configure products, availability, checkout requirements, waivers, customer types, policies, settings, branding, locations, support details, and related content, but live storefront publication, payment collection, and other activation-dependent features may remain disabled.

Vanta Booking may review merchant applications, account details, business information, support requests, configuration data, and connected payment status before approving live activation. Approval is not guaranteed. Vanta Booking may request more information, deny activation, pause an account, restrict features, or require additional review where appropriate.

Supported countries, currencies, payment methods, tax settings, deposits, messaging features, and onboarding requirements may vary by region and by third-party provider availability. Vanta Booking may choose not to support certain countries or payment flows, including where a payment provider does not support the required connected-account model.

Merchant responsibilities

Merchants are responsible for the accuracy, legality, and completeness of all information they publish or configure through the platform, including business names, locations, product descriptions, images, schedules, prices, deposits, taxes, fees, policies, waiver language, ID requirements, age or eligibility rules, accessibility statements, confirmation notes, receipt text, and customer-facing instructions.

Merchants must comply with all laws, regulations, licensing requirements, tax obligations, consumer protection rules, privacy obligations, accessibility rules, safety obligations, insurance requirements, and industry-specific rules that apply to their business, customers, locations, services, and employees.

Merchants are responsible for honoring bookings, communicating with customers, handling cancellations and reschedules, addressing customer disputes, resolving operational issues, managing refunds where required, and maintaining safe and lawful business operations.

Customer bookings

Customers are responsible for reviewing the merchant's listing, price, taxes, deposit terms, cancellation policy, waiver or ID requirements, arrival instructions, eligibility requirements, and any other checkout information before booking.

Customers must provide accurate booking information, including contact details, participant details, emergency contact information, waiver information, ID uploads, service location information, or other required details where requested by the merchant or checkout flow.

A booking may be subject to merchant approval, availability, payment authorization, fraud review, waiver completion, ID review, security deposit authorization, or other conditions shown during checkout or communicated by the merchant.

Payments, Stripe, fees, and payouts

Vanta Booking uses Stripe or another designated payment provider to support card payments, payment authorization, connected merchant accounts, payouts, refunds, disputes, and related payment functionality. Merchants must complete any required payment-provider onboarding before collecting live payments.

Payment processing services are provided by Stripe and are subject to Stripe's agreements, terms, disclosures, and requirements, including the Stripe Connected Account Agreement where applicable. Vanta Booking is not responsible for Stripe's approval decisions, account requirements, reserves, payout timing, holds, disputes, chargebacks, or payment-provider service interruptions.

Vanta Booking may charge platform fees, application fees, subscription fees, usage fees, or other fees disclosed in the product, agreement, invoice, dashboard, or merchant communication. Stripe processing fees, dispute fees, currency conversion fees, international card fees, payout fees, taxes, and other third-party charges may also apply.

Merchants are responsible for configuring, collecting, reporting, and remitting applicable taxes, VAT, GST, sales tax, tourism taxes, fees, and similar charges. Vanta Booking may provide manual tax configuration tools, but those tools do not replace professional tax advice or a merchant's legal obligations.

Deposits, refunds, disputes, and cancellations

Some bookings may include refundable security deposit holds, delayed capture, manual capture, automatic release workflows, or merchant decisions to release or claim a deposit. Deposit availability, timing, card-network rules, payment-provider rules, and authorization windows may vary.

Merchants are responsible for using deposit, cancellation, refund, and damage tools lawfully and fairly, and for explaining applicable policies to customers. Customers should review each merchant's policies before booking.

Refunds, partial refunds, dispute responses, chargeback evidence, deposit releases, and deposit captures may depend on payment-provider rules, card-network rules, merchant settings, available funds, risk review, and Vanta Booking's platform capabilities. Vanta Booking may assist with technical processing but does not guarantee the outcome of disputes, refunds, or chargebacks.

Merchant content and customer data

Merchants retain responsibility for content and data they submit, configure, upload, or collect through the platform. By submitting content to Vanta Booking, you grant Vanta Booking the rights necessary to host, display, process, transmit, back up, modify for formatting, and use that content to provide and improve the platform.

Merchants must have all rights and permissions needed to submit product images, business logos, reviews, waiver text, policy language, customer communications, and other content. Merchants may not upload unlawful, misleading, infringing, unsafe, discriminatory, abusive, or fraudulent content.

Merchants are responsible for using customer data only for lawful business purposes related to bookings, support, safety, payment, compliance, and customer service, and for honoring privacy obligations that apply to their own business.

Messaging, email, SMS, and support

Vanta Booking may send operational emails, support emails, booking notifications, lifecycle notifications, account notices, security alerts, password reset emails, account recovery messages, and SMS verification codes. Message and data rates may apply for SMS messages.

Merchants are responsible for ensuring customer-facing messages, receipt notes, policies, support contact information, and storefront contact details are accurate and lawful. Merchants must not use Vanta Booking messaging tools for spam, harassment, misleading communications, or unlawful marketing.

Support requests, account recovery requests, phone or email change requests, account closure requests, and employee review actions may be reviewed by authorized Vanta Booking personnel. Vanta Booking may decline, delay, or require more information for support or recovery requests where security or compliance concerns exist.

Acceptable use

You may not use the platform to violate law, misrepresent a business, impersonate another person, submit fraudulent information, evade payment or platform fees, interfere with bookings, abuse refunds or disputes, compromise security, scrape or overload the platform, reverse engineer protected parts of the service, upload malware, or attempt unauthorized access.

You may not use the platform to offer illegal, dangerous, abusive, exploitative, discriminatory, infringing, or deceptive services or content. Vanta Booking may remove content, limit features, pause payments, hide storefronts, suspend users, or terminate accounts where necessary to protect customers, merchants, staff, payment partners, or the platform.

Internal access and platform operations

Authorized Vanta Booking personnel, contractors, service providers, and operators may access merchant accounts, customer records, booking records, payment metadata, support requests, configuration data, logs, and uploaded materials where reasonably necessary to provide support, process approvals, troubleshoot issues, prevent fraud, maintain security, administer the platform, or comply with legal obligations.

Vanta Booking may create, modify, restrict, or assist with merchant records through internal tools when needed for support, security, approval, recovery, payment review, or operational reasons.

Availability and changes

The platform may change over time. Vanta Booking may add, remove, modify, restrict, or discontinue features, countries, currencies, payment methods, integrations, workflows, settings, or support options at any time.

The platform may experience downtime, latency, errors, data sync delays, email delivery limits, SMS delivery issues, payment-provider interruptions, hosting interruptions, third-party dependency failures, or other availability issues. Vanta Booking does not guarantee uninterrupted or error-free service.

Suspension, account closure, and termination

Vanta Booking may suspend, restrict, or terminate access if you violate these Terms, provide inaccurate information, fail required review, create security or fraud risk, misuse support or payment flows, violate third-party payment requirements, or create legal, operational, reputational, or safety risk.

Merchants may request account closure where available. Account closure may not immediately delete all records. Vanta Booking may retain records as needed for active bookings, payment processing, refunds, disputes, security, legal compliance, tax records, audit logs, fraud prevention, backup integrity, and legitimate business purposes.

After termination or account closure, certain provisions of these Terms will continue to apply, including payment obligations, merchant responsibilities, customer dispute obligations, privacy and data obligations, disclaimers, limitations of liability, and dispute-related terms.

Disclaimers

The platform is provided on an as-is and as-available basis to the fullest extent permitted by law. Vanta Booking disclaims implied warranties, including implied warranties of merchantability, fitness for a particular purpose, title, quiet enjoyment, and non-infringement.

Vanta Booking does not warrant that merchant listings are accurate, that merchants will perform services as described, that customers will appear for bookings, that waivers are legally enforceable, that tax settings are legally sufficient, that payment processing will always succeed, or that third-party providers will remain available.

No information provided through the platform is legal, tax, insurance, safety, medical, financial, or professional advice. You should consult qualified professionals for advice specific to your business, jurisdiction, and services.

Limitation of liability

To the fullest extent permitted by law, Vanta Booking will not be liable for indirect, incidental, special, consequential, exemplary, punitive, or lost-profit damages, or for losses arising from merchant conduct, customer conduct, outages, third-party failures, payment-provider actions, disputes, chargebacks, delayed activation, data issues, tax settings, waiver language, support delays, or unauthorized account access not caused by Vanta Booking's breach of these Terms.

To the fullest extent permitted by law, Vanta Booking's total liability arising out of or related to these Terms or the platform will not exceed the greater of one hundred US dollars or the amounts paid by the merchant to Vanta Booking for the twelve months preceding the event giving rise to the claim.

Indemnification

If you are a merchant or use the platform on behalf of a business, you agree to defend, indemnify, and hold harmless Vanta Booking from claims, damages, losses, liabilities, costs, and expenses arising from your listings, services, operations, customers, employees, content, taxes, refunds, disputes, waivers, policies, violation of law, violation of these Terms, or misuse of the platform.

Governing law and contact

These Terms are governed by the laws of Arizona, USA, without regard to conflict-of-law principles. Courts located in Arizona will have jurisdiction for disputes unless applicable law requires a different forum.

Vanta Booking may update these Terms from time to time. If changes are material, Vanta Booking may provide additional notice where appropriate. Continued use of the platform after updated Terms become effective means you accept the updated Terms.
